- Deliverability is won before you hit send: authentication, domain reputation, and warmup matter more than copy.
- Use a separate sending domain for cold outreach so you never risk your primary domain's reputation.
- Volume and consistency are reputation signals — ramp slowly and keep bounce and spam rates low.
You can write the most compelling cold email in the world, and it will book exactly zero meetings from the spam folder. Deliverability — whether your message reaches the inbox at all — is decided mostly by plumbing you set up before the campaign, not by your subject line. Here's the checklist that actually moves inbox placement.
1. Authenticate your domain (non-negotiable)
Mailbox providers check three records to confirm you are who you say you are:
- SPF — lists the servers allowed to send for your domain.
- DKIM — cryptographically signs your mail so it can't be forged.
- DMARC — tells providers what to do when SPF/DKIM fail, and gives you reporting.
Missing or misconfigured, and a growing share of providers will route you straight to spam — or reject you outright. This is table stakes. (We break each one down in our SPF/DKIM/DMARC guide.)
2. Use a separate sending domain
Never run cold outreach from your primary domain. If a campaign triggers spam complaints, you don't want your real email and your team's deliverability caught in the blast radius. Buy a dedicated lookalike domain (e.g. get-yourbrand.com), authenticate it, and send cold mail from there.
Protect the mothership: one bad cold campaign on your main domain can hurt every email your company sends, including invoices and support. Isolate it.
3. Warm up before you send
A brand-new mailbox blasting fifty cold emails on day one looks exactly like a spammer. Warmup — gradually increasing volume while generating positive engagement (opens, replies, moving mail out of spam) — builds the sending reputation that gets you to the inbox. Rushing this is the most common reason new campaigns fail.
4. Protect your reputation while sending
- Ramp volume slowly and keep it consistent — spikes look automated.
- Keep your list clean. Every hard bounce hurts your reputation; verify addresses before sending.
- Watch your spam-complaint rate like a hawk. A few complaints per thousand is enough to tank placement.
- Make replies easy and unsubscribing easier. Friction generates complaints, which are the fastest way to the spam folder.
5. Write like a human, not a template
Spam filters increasingly read content. Avoid spam-trigger phrasing, excessive links, image-only emails, and obvious mail-merge tells. Plain, personal, specific messages both convert better and deliver better — the incentives line up.
The order that matters
Authenticate → separate domain → warm up → send slowly with a clean list → write like a person. Skip the first four and no amount of clever copy saves you. Nail them and your open rates stop being a mystery.
